Setting the Stage for Success: How CCIS Supports Speakers Behind the Scenes

Great presentations don’t happen by accident—they’re the result of thoughtful preparation, support, and attention to detail.

From world-leading academics to industry disruptors and emerging voices, speakers are at the heart of any successful conference. Their presentations shape the tone, deliver the knowledge, and often leave the most lasting impressions.

At CCIS The Conference Company, we take speaker support seriously. Our behind-the-scenes efforts ensure presenters feel confident, comfortable, and clear on how to deliver their best on the day.

Here’s a look at how we help set the stage—well before the spotlight hits.

  1. Preparation Begins Early
Once a speaker is confirmed, the CCIS team gets to work. We start with clear communication—sending out briefing documents that include presentation guidelines, AV requirements, session timing, format details, and key deadlines.

We also provide easy-to-follow templates for slides and posters (where appropriate), and offer options for tech checks or one-on-one meetings with our production team for more complex setups. The goal? To remove ambiguity and give speakers the tools they need to succeed.
  2. Tech-Ready, Always

No one wants tech hiccups mid-presentation. That’s why we run AV checks ahead of the event—and again onsite. Our production crew is onsite and on-call to test presentations, load media, and walk speakers through the equipment.

We also provide comfort monitors, timers, confidence screens, and dedicated tech support staff for larger plenaries or complex panel sessions. Whether it’s in person, hybrid, or fully virtual, we’re committed to making the tech feel seamless (or invisible).
  3. A Smooth Arrival Experience

When a speaker arrives at the venue, our team is ready. We greet presenters personally, guide them and ensure they know exactly where they need to be and when.

We also offer time for a final run-through, mic fitting, and a check-in with the session chair—so there’s no guesswork. For virtual events, we run a pre-event speaker onboarding session to help with framing, lighting, and virtual delivery techniques.
  4. Supporting Nervous Speakers (and Pros Alike)

Even the most experienced presenters appreciate calm, capable support. We’re there to troubleshoot, encourage, and reassure. For less experienced speakers, we’ll walk them through everything from slide transitions to stage layout and timing tips.

Our team is trained to respond quickly but also quietly—so speakers can focus, breathe, and feel taken care of.
  5. Post-Presentation Wrap-Up

After the session, we support speakers with follow-up: gathering feedback, handling Q&A, sharing audience engagement metrics, or arranging for recordings. We also celebrate their contribution—it’s important to us that they feel valued and proud of their part in the event.

It’s Not Just About Logistics—It’s About Experience

Great speaker support is about more than getting the details right. It’s about creating a smooth, positive, and professional experience that lets presenters shine and lets the content take centre stage.

At CCIS, we see speakers as partners. And whether they’re delivering a keynote or chairing a session, we’re right behind them—quietly ensuring every moment is set up for success.
