IEE – Education Exchange Meeting

The Brief

CCIS The Conference Company were tasked with running a two-day annual educational meeting for our client for over 250 healthcare professionals in the UK. Our team worked alongside the venue and other third-party suppliers to deliver this event.

The Delivery

The event took place in the Park Regis Hotel, Birmingham. Our team had spent months working with our client, and other suppliers to work on the logistics. Before we could reach out to delegates to attend, we created a bespoke registration page using our in-house Conference Diary Portal for delegates to register their interest to attend this educational event, this was approved internally by our client and the invites were shared with those healthcare delegates interested in attending this event.

Our Conference Diary Registration Page was built to capture names, contact details, hospital addresses as well as dietary requirements and hotel accommodation requests. The dietary requirements allowed us to choose a menu that would accommodate all our delegates needs to ensure they had a good experience when they arrived at the conference event. The room requests were looked at on an individual basis to ensure it aligned with our supplier’s internal SOPs and this was communicated to the delegates through their Conference Diary Portal registration page. Through our portal we prepared a final logistics email with all travel, accommodation and timings required by the delegates to arrange their travel to and from the Meeting event.

The CCIS team travelled to the hotel the day before the event to work on the set-up with the AV and production team and have an on-site briefing with the hotel’s operations team. The Education Exchange Meeting Event began with a half-day afternoon meeting, when the attendees arrived, they were served a buffet lunch where they could network and freshen up after travelling to the venue. Our CCIS onsite team managed the registration desk on arrival and distributed name badges and booklets to each delegate that arrived for the meeting.

The first day was held in the Sky Gallery and gave an overall introduction to the day and covered a broad range of subjects. Once the first day of the IEE meeting concluded, we had arranged for a group check-in for those staying at the hotel. There was a buffet-dinner that evening for the full group and allowed the delegates to debrief on the meetings topics and create contacts within the industry to build their network. Day two of the meeting, the healthcare professionals were broken into sub-groups depending on their job speciality, the group was over two levels with four breakout rooms in action. Registration desks were set-up on level 15 and level 16 on the hotel to capture all of the delegates that attended. These sessions were more specific to each delegate’s stream and differed to day one.

Once day two of the meeting closes, we provided lunch before guest departures. As guests departed the suppliers began to clear down the room and our team worked on closing the event out and issuing Certificates of Attendance to those that attended the meeting in full.

Many of the healthcare delegates that attended regard this as the highlight of their year as they get the opportunity to connect with their peers and speak openly about their experiences of the past year sharing their challenges while others offer support and solutions.
